Property onboarding is the primary priority for Gather’s Portfolio Management team. Learn more about what to expect in the onboarding process and get answers to our most frequently asked questions.

Onboarding Overview

Property onboarding is the primary priority for Gather’s Portfolio Management team and begins shortly after your contract and all required attachments (i.e., Schedule A) have been executed.


Please note, the following property information is required to market your property on our highly-converting outlets for optimal exposure and performance. Our property managers are encouraged to provide this information at the onset of onboarding to ensure your property can be marketed as soon as possible. 

  1. Photos / Photoshoot Scheduled within Two (2) Weeks
  2. Transient Accommodations Tax ID Number *Required for Hawaii Market ONLY
  3. Short-Term Vacation Rental Permit ID Number *Requirement Dependent on County
  4. Standard & Max Occupancies 
  5. Property Address & Location
  6. Base & Minimum Nightly Rental Rates
  7. Required Guest Fees (i.e., Departure Cleaning Fee)
  8. Property Description / Summary
  9. Property Amenities
  10. Bedroom & Bathroom Configurations & Amenities

What Does the Onboarding Process Look Like?

A high-level overview of our onboarding workflow is detailed below for your reference. 

  1. Contract & Required Attachments Executed >
  2. Property Manager Completes & Submits Onboarding Form >
  3. System Automates Generation of Onboarding Request >
  4. Portfolio Management Team Builds the Unit and Owner Profiles, Fees, Rates, Etc. >
  5. Request Outstanding Marketing Requirements from Property Manager & Owner (i.e., Property Photos) > 
  6. All Marketing Requirements Provided > 
  7. Advertisements Created on Company Websites (evrhi.com / gathervacations.com) >
  8. Advertisements Created on Third-Party Booking Channels (i.e., Airbnb, Vrbo, etc.) >
  9. Portfolio Management Team Collects Outstanding Pending Data / Documents > 
  10. Onboarding Process Complete

How long does it take to onboard my property?

In the event ALL marketing requirements (detailed above) are provided at the time onboarding is initiated by your property manager, the Portfolio Management team has the capability to get your property loaded in our system and marketed on our company website in as little as 3 business days.

While most of your unit, owner, and fee data is configured within our property management system, Gather utilizes some third-party programs which require technological integrations and data syncs. Our systems typically perform their initial syncs within 24-48 hours; however, the estimated timeframe for onboarding (outlined above) is contingent upon our system integrations with outside programs operating as intended.

Once your property is marketed, the Portfolio Management team will continue working with you and your property manager to collect the remaining data and documentation outstanding. The onboarding process is not considered complete until ALL pending data and documents have been collected.

If some, but not all of the marketing requirements (detailed above) are provided at the time onboarding is initiated by your property manager, the onboarding process may experience indefinite delays. The Portfolio Management team is committed to collecting the remaining requirements needed to market your property and will continue to work with you and your property manager to obtain any pending items required. The team will continue to process any information and documents as they are provided. Once all marketing requirements have been submitted, the onboarding process will continue as noted above. 

How can I inquire about the onboarding status of my property?

If you find yourself wondering about the progress Gather is making on your property onboarding, please feel free to reach out to the Portfolio Management team via the thread containing the request for your required documentation. As a general rule, you may search for the required documents communication by the subject line: 

  • Hawaii Market: Welcome to Elite Pacific Vacations: Getting Started, {PROPERTY NAME}
  • Mainland Markets: Welcome to Gather Vacations: Getting Started, {PROPERTY NAME}

If you cannot locate the required documents communication sent to you by the Portfolio Management team, you may also reach out to us for an update by sending an email to onboarding@gathervacations.com and copying your property manager for transparency.
