To assist you in this process, we've compiled a list of frequently asked questions regarding how Gather's Accounting Team can connect to your Hawaii Tax Account. These FAQs are designed to simplify the process, ensuring that your tax obligations are managed efficiently and accurately. Whether you're a local or foreign owner, these guidelines will help you understand the necessary steps and documents required for Gather Accounting to effectively manage your tax-related matters.

Q: What is the quickest way for Gather to connect to my Hawaii Tax Account?

  • A: The ideal way for Gather Accounting to connect to an owner’s tax account is to provide the W-9 and Registration Welcome Letter issued to you by the Hawaii Dept of Taxation. The W-9 Tax ID should reflect the same Tax ID as the Registration Welcome Letter.

Q: I am a foreign owner. Do I need a US Tax ID for Gather to connect to my tax account?

  • A: Yes, foreign owners must obtain a US ITIN from the IRS and then apply for their GET/TAT tax accounts. This ITIN, along with the Registration Welcome Letter, should be provided to Gather Accounting.

Q: What other documents, outside of the Registration Welcome Letter, can Gather use to connect to my tax account?

  • A: Generally, all letters from HiTax can be used EXCEPT the “license letters”. 

The following letters will suffice if the Registration Welcome Letter is not obtainable. Additionally, the SSN/FEIN used in the GET/TAT accounts should be confirmed:

    1. Filing frequency change letter
    2. Reminder to file return letter
    3. Non-zero G-45 and TA-1 tax return for the last three months
    4. Any other letters that pertain to GET/TAT accounts of the owner, except for the “license” letter

Q: Can Gather use the TAT Registration Welcome Letter to connect to my GET account?

  • A: Yes, in most cases, the GET + TAT account numbers are the same and Gather can connect to an owner’s tax account with the one Registration Welcome Letter. 

Q: Can Gather's Accounting Team sign into my tax account to obtain the Registration Welcome Letter or view any other documents on my behalf?

  • A: Yes, Gather's Accounting Team can sign into an owner’s HI Tax Online account if the username and password are provided.  Additionally, we will need to align with the owner to obtain a secure numerical code that will be emailed to them. This alignment can be handled via a timely email to the owner, a phone call, or via text communication with the owner. 

Q: What happens if Gather's Accounting Team is unable to connect to my tax account successfully?

  • A:  If a connection is still unsuccessful after all owner communication, our team will seek additional assistance from HiTax online.  Our authority to speak on behalf of the owner is limited in this case and may require the owner to handle direct communications with HI Tax Online to obtain the documents needed.
